Frequently asked questions
Answers for bowling alley owners and staff, and for customers who book lanes. Search for a word or browse by topic.
Getting started
What is Keilarata.fi?
Keilarata.fi is an online booking system made only for bowling alleys. Customers book lanes, glow bowling and competition places on the alley's own booking page, on a phone or a computer. Staff manage bookings, prices, payments, competitions and the team in one admin panel that runs in the browser.
How does a bowling alley join?
Join the waitlist on our website and we will contact you. When it is your turn, you get an invitation link to create your alley's account. You then set up the alley in the admin panel, and we approve it before the booking page opens to customers.
How long does it take to set up?
Most of the work is entering your lanes, opening hours, prices and payment options, which usually fits into an afternoon. A checklist in the admin panel shows what is still missing. Connecting Stripe for online payments takes a little longer, because Stripe asks for your company's details.
What can we set up ourselves?
You set up lanes, weekly opening hours, closures and future changes to opening hours. You also set prices by weekday, time and booking type, booking lengths, extras, booking form fields, booking terms, your logo, banner and description. Everything is done in the admin panel, and you can change it at any time.
Do we need technical skills?
No. If you can use a web shop or online banking, you can set up Keilarata.fi. It is easy to set up: the admin panel guides you step by step, and the help centre has instructions for each setting.
Where do customers find our booking page?
Each alley gets its own address, for example keilarata.fi/your-alley. You can link to it from your website, Google Business Profile, social media and emails. There is no widget to embed on your own site, so a link or a button is the way to send customers to the booking page.
Booking and customers
Do customers need an account to book?
No. Customers can book as guests with their name, email address and phone number. A customer who creates an account sees their bookings on the My bookings page and can collect stamps if the alley runs a stamp card.
How does a customer book a lane?
The customer picks a day, the number of players or lanes, and how long they want to play. The booking page shows free times with prices, and a lane map shows every lane. The customer fills in their details, adds extras if they like and pays online or chooses to pay at the alley.
Can a big group book several lanes at once?
Yes. A group can book several lanes in one booking, and all lanes start at the same time. The system picks lanes next to each other when it can.
Do customers get a confirmation?
Yes. The customer gets a confirmation email with the booking details right after booking. Staff can also get an email and a notification in the admin panel when a new booking arrives.
Can customers cancel or change their booking?
A customer who booked while signed in can cancel on the My bookings page until the cancellation deadline that the alley sets, and an online payment is then refunded automatically. Guests and customers who want to change the time contact the alley. Staff can move, change and cancel any booking in the admin calendar.
Can staff still take bookings by phone?
Yes. Staff add phone and walk-in bookings in the same calendar that customers book from, so a lane is never sold twice. Staff can also make recurring bookings, for example for a weekly league or a company team.
Is there a customer register?
Yes. The admin panel keeps a customer register with booking history and notes. You can search customers, edit their details and export the register as a CSV file.
Can we sell extras and give discounts?
Yes. You can add extras such as shoes, food or drinks, priced per booking or per person, with their own VAT rate. You can also create percentage discount codes and run a stamp card that rewards regular customers.
Glow bowling
Can customers book glow bowling online?
Yes. You set the days and hours when glow bowling runs, and customers see those times in the booking calendar. They book and pay for glow bowling the same way as a normal lane.
Can glow bowling have its own prices?
Yes. Glow bowling is its own booking type with its own price rules by weekday and time. You can also give it its own label and colour in the calendar.
What if a booking starts in normal time and runs into glow bowling time?
Each part of the booking is priced by the rule that covers it. For example, a two hour booking with one hour before glow bowling starts gets the normal price for that hour and the glow bowling price for the rest.
Competitions
How do customers register for a competition?
Each alley has a public competitions page where customers see upcoming competitions and register online. The customer gets a confirmation email, and staff see every participant in the admin panel.
Can players pay the entry fee online?
Yes. You choose for each competition whether players pay online, at the venue or either way. Online entry fees are paid through Stripe to your alley's own Stripe account.
Are the lanes reserved for the competition?
Yes. When you create a competition, its lanes are blocked in the calendar automatically, including the warm-up and finishing time you set before and after it. Customers cannot book those lanes for that time.
Can we run a weekly series or league night?
Yes. You can create a series that repeats every week, every other week or every month, with up to 52 dates. Each date gets its own registration and its own lane reservation.
Does it handle classes, lane assignment and participant limits?
Yes. A competition can have classes, a participant limit and lane assignment done by hand or automatically. You can export the participant list as a CSV file.
Can one person register several players?
Yes. One email address can register several players for the same competition. Online registration stops when the participant limit is full, and staff can still add players by hand, for example as reserves.
Payments and Stripe
How do online payments work?
Online payments use Stripe Connect. Your alley connects its own Stripe account in the admin panel, customers pay on Stripe's secure payment page, and the money goes to your Stripe account. Stripe then pays it out to your bank account.
Can customers pay at the alley instead?
Yes. You can accept online payments, payment at the venue, or both. Staff mark venue payments as paid in the admin panel and can record how each one was paid, also when a customer splits the bill between, for example, a card and a sports voucher.
Which payment methods do customers have?
Customers can always pay by card. Other methods that Stripe offers in your country, such as Apple Pay or Google Pay, are available when you switch them on in your Stripe account.
Who pays Stripe's fees?
For online payments, your alley pays Stripe's own card fees according to Stripe's price list. Keilarata.fi adds no markup and no booking fee. Payments at the venue have no fees at all.
How do refunds work?
When a booking that was paid online is cancelled, the payment is refunded to the customer in full automatically. Partial refunds can be made in your Stripe dashboard.
Can a company pay by invoice?
Staff can mark a booking as to be invoiced, so it is clear in the calendar and reports that payment is still open. The invoice itself is made in your own accounting or invoicing software, because Keilarata.fi does not create invoices.
Can we see our sales and payouts?
Yes. The admin panel has reports on sales, income and lane usage that you can download as PDF or CSV. You can also see Stripe payments, payouts and disputes, and have Stripe's official reports emailed to you on a schedule.
Pricing and subscription
How much does Keilarata.fi cost?
Perus costs 59 € a month and Pro 119 € a month, excluding VAT. If you pay yearly, you get two months free: 590 € or 1,190 € a year. Enterprise is priced by agreement. Every new hall starts with a 30-day free trial, and the first 10 halls get Pro for 79 € a month for the first 12 months.
Does the price depend on the number of lanes?
No. The price is the same whatever the size of your hall. No plan limits lanes, bookings or staff accounts, and there is no fee per booking. The plan you choose decides which features you get.
What is included?
Perus includes the booking page, admin calendar, price rules and extras, glow bowling, online payments and payment at the venue, email confirmations and staff accounts. Pro adds competitions, the loyalty stamp card, discount codes and reports. Enterprise adds several venues, custom work, integrations and priority support. Every plan includes help with setting up, updates, support by email and the booking page in 12 languages.
Do we have to install updates?
No. Keilarata.fi runs in the browser, so every alley always uses the latest version. New features appear in the admin panel without anything to download.
Languages and international use
Which languages does the booking page support?
Customers can book in 12 languages: Finnish, English, Swedish, Norwegian, Danish, German, Dutch, French, Spanish, Italian, Portuguese and Polish. The customer picks the language on the booking page.
Which languages does the admin panel support?
The admin panel is in Finnish and English. Each staff member can choose their own language.
Which currencies can we use?
Each alley chooses its currency: euro (EUR), Swedish krona (SEK), Norwegian krone (NOK), Danish krone (DKK), Polish zloty (PLN), British pound (GBP), Swiss franc (CHF) or US dollar (USD). Prices, payments and reports then use that currency.
Can a bowling alley outside Finland use Keilarata.fi?
Yes. The booking page works in 12 languages and the alley chooses its own currency. Online payments need a Stripe account, so they are available in the countries where Stripe Connect works.
Mobile
Can customers book on their phone?
Yes. The booking page is built for phones first, so customers can find a free time, book and pay in a few taps. In Finland, Keilarata.fi is one of the few bowling booking systems that is made for phones and takes payments online.
Can staff use the admin panel on a phone?
Yes. The admin panel works on a phone, a tablet and a computer. On a phone you can check today's bookings on the lane map, add a booking and mark payments at the counter.
Is there an app to download?
No, and you do not need one. Keilarata.fi runs in the web browser, so customers and staff use it without installing anything.
Your data
Can we export our data?
Yes. You can export the customer register and bookings as CSV files, and download reports as PDF or CSV. You can use the files in a spreadsheet or in your accounting.
Can other alleys see our bookings or customers?
No. Each alley's data is kept separate in the database, and access rules allow only your own staff to see it. Staff see only what their role allows.
Can we control what each staff member sees?
Yes. You invite staff by email and give each one a role, such as admin, manager, staff or accountant, or set their permissions one by one. An activity log shows who changed what.
Privacy and GDPR
Is Keilarata.fi GDPR compliant?
Keilarata.fi is made in Finland, and our privacy policy explains what personal data we process, why and for how long. It also lists the services that process data for us: Supabase for data storage in the EU, Stripe for payments and Resend for email.
How long is booking data kept?
Our privacy policy states that booking history is kept for three years from the last booking and payment transactions for six years, as accounting law requires. A customer account is kept until it is closed or the customer asks for it to be deleted.
How can a customer see or delete their data?
A customer can ask to see, correct or delete their personal data by emailing info@keilarata.fi or by contacting the alley. Staff can delete a customer from the customer register in the admin panel.
Security
Does Keilarata.fi store customers' card details?
No. Customers enter their card details on Stripe's payment page, and Stripe handles them. Keilarata.fi never sees or stores card numbers.
How are the forms protected from bots and fake bookings?
Sign-in, booking and competition registration forms are protected with Cloudflare Turnstile, which stops automated bots without making customers solve puzzles. Online bookings that are not paid in time are released automatically.
Is the connection secure?
Yes. All traffic between the browser and Keilarata.fi is encrypted with HTTPS. Staff sign in with their own accounts, and each account sees only the alley and the functions it has rights to.
Support
How do we get help?
Email info@keilarata.fi or use the contact form on our website. The help centre has guides for alley staff and for customers, and the admin panel has a button for sending feedback or reporting a problem.
Do you help with setting up?
Yes. Help with setting up is included. The admin panel has a checklist for the setup, and if you get stuck, contact us and we help you get the booking page ready.
Where do our customers get help with booking?
Keilarata.fi has a help page for customers that explains how to book, pay, cancel and register for competitions. Each alley also has its own copy at keilarata.fi/your-alley/ohje that you can link to. Questions about a specific booking go to the alley.
Switching from phone bookings or another system
We take bookings by phone now. How do we switch?
Set up the alley and share the link to your booking page on your website and social media. Keep taking phone bookings and enter them in the same calendar, so online and phone bookings never overlap. Many customers start booking online on their own once they see the link.
Can we bring in bookings from our old system?
Yes. The admin panel can import bookings from a CSV or Excel file, and a template shows the columns it reads. Customer lists are not imported in bulk, but the register fills up as customers book.
Can we run the old system and Keilarata.fi side by side?
Yes. You can set everything up and test it before you share the booking page. When you are ready, you move your future bookings over with the import and start using Keilarata.fi from a date you choose.
Does it connect to our cash register or scoring system?
No. Keilarata.fi does not connect to cash registers, lane scoring systems or accounting software. Venue payments are recorded in the admin panel, and you can export sales reports for your accounting.
